For the initial check, identify all parties and connected entities, the instructing firm and opposing lawyers, the court, tribunal or arbitral forum, any public claim number, the broad nature of the matter and the work required.

Urgent hearings and deadlines

State the hearing date, limitation date or other material deadline prominently in the subject line and enquiry. Identify the application or hearing, its estimated length, the present procedural stage and whether papers are ready. The clerks can then address availability and the appropriate next step.

Confidential documents

Do not send pleadings, evidence, privileged information or substantial documents with an initial enquiry. First provide only the information needed for conflicts and availability. Where papers are required, secure-transfer arrangements can be confirmed after those checks.
